The Hunting Exchange ("we," "us," or "our") operates the The Hunting Exchange platform at The Hunting Exchange.com (the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our Service.
Account Information: When you create an account, we collect your name, email address, phone number (optional), account type (hunter or landowner), and county/location. Landowners may also provide TPWD license information and property ownership documentation.
Listing Information: When landowners create listings, we collect property details including title, description, location (county/state), acreage, pricing, game types, amenities, and photographs.
Payment Information: Payment processing is handled by Stripe, Inc. We do not store credit card numbers or bank account details on our servers. We receive transaction metadata including payment amounts, fees, and escrow status from Stripe. Landowners who receive payments through Stripe Connect provide banking information directly to Stripe.
Communications: Messages sent between users through our on-platform messaging system are stored to facilitate communication between hunters and landowners.
Usage Data: We automatically collect information about how you interact with the Service, including pages viewed, search queries, listing interactions, IP address, browser type, device information, and referring URLs.
Cookies: We use essential cookies (such as authentication session cookies) to operate the Service. We do not use third-party advertising cookies.
We use the information we collect to: operate and maintain the Service; process transactions and manage escrow payments; generate lease agreements; send transactional emails (account confirmation, escrow notifications, listing expiry reminders); communicate with you about your account or transactions; comply with legal obligations, including Texas Parks and Wildlife Department requirements; improve the Service and develop new features; prevent fraud and enforce our Terms of Service.
Between Users: When a hunter and landowner enter a transaction, limited information is shared between them as part of the lease agreement, including names, contact information, and property details.
Service Providers: We share information with third-party service providers who help us operate the Service, including: Stripe (payment processing and escrow), Resend (transactional email delivery), Supabase (database hosting), and Vercel (website hosting). These providers are contractually obligated to protect your information.
Legal Requirements: We may disclose your information if required to do so by law, in response to a subpoena or court order, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
We do not sell your personal information to third parties.
When a hunter completes a booking, we store a record of the transaction (parties, dates, amount, escrow status) along with limited shared information (names, county) so the parties can communicate and the platform can process payment, refund, or dispute requests. If a landowner uploads their own contract PDF to a listing, we store the file solely for the purpose of delivering it to booking parties — we do not review, analyze, or share that contract beyond the parties to the booking. The Hunting Exchange does not produce or supply any lease agreement; written agreements are between the landowner and the hunter directly.
We retain your account information for as long as your account is active. Listing data is retained while the listing is active and for a reasonable period after takedown. Booking and escrow records (transaction amount, parties, dates, status) are retained for 7 years for legal and tax compliance, including IRS 1099-K reporting obligations. Messages are retained for 2 years. You may request deletion of your account and associated data by contacting us at support@thehuntingexchange.com.
We implement industry-standard security measures to protect your information, including: encrypted data transmission (TLS/SSL), secure authentication with httpOnly cookies, password hashing using bcrypt, and secure payment processing through Stripe's PCI-compliant infrastructure. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
You may: access the personal information we hold about you; update or correct your account information through your dashboard; request deletion of your account and personal data; opt out of non-essential communications. To exercise these rights, contact us at the email address below.
The Service is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children. If we learn we have collected information from a child under 18, we will delete it promptly.
As a Texas-based platform, we comply with applicable Texas privacy and data protection laws. The Texas Identity Theft Enforcement and Protection Act requires us to notify affected individuals in the event of a data breach involving sensitive personal information.
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Service and updating the "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
